• Profile picture (if provided by authentication provider)

This information is required to create and maintain your account.

2.2 Contact Data Added by Users

Orbit AI functions as a personal relationship management system. Users may add contacts manually. Information stored about contacts may include:

• Name
• LinkedIn profile URL
• Instagram handle
• X (Twitter) profile
• Phone number (optional)
• Company and role
• City or location
• Communication preference (e.g., WhatsApp, iMessage, Telegram)

Users may also add manual notes or context about contacts.

2.3 Publicly Available Social Data

Orbit AI processes public information from social media accounts linked to contacts. Sources may include:

• LinkedIn
• Instagram
• X (Twitter)

This may include public posts, public profile descriptions, and public activity or updates.

Orbit AI stores raw text of public posts, AI-generated summaries of posts, and extracted contextual insights (e.g., hobbies, travel activity, life updates).

Orbit AI does not store images, videos, or other media content.

2.4 Derived AI Insights

Our system may generate structured summaries from public data, such as:

• Professional changes
• Travel activity
• Life updates
• Interests or hobbies inferred from public content

These insights are generated automatically using AI tools and are intended to help users maintain awareness of their network.

2.5 Technical Data

We automatically collect limited technical data including:

• Device information
• Browser type
• IP address
• Log data
• Usage metrics

This information helps us maintain system security and performance.

Orbit AI uses artificial intelligence services to analyze and summarize publicly available information. We currently use OpenAI for summarization and natural language processing.

When AI processing occurs:

• Public social data and contact context may be sent to OpenAI for summarization.
• AI outputs are stored within the Orbit AI platform.

Orbit AI does not train its own models on user data and does not allow AI providers to train models using Orbit AI customer data. AI is used strictly to generate summaries and suggested outreach messages.

Orbit AI stores data using cloud infrastructure providers.

Primary infrastructure:

• Supabase (database services)
• Railway (backend hosting)

Data stored may include user accounts, contact profiles, public social signals, AI summaries, and embeddings used for semantic search. Data may be stored in cloud regions operated by our infrastructure providers.

Orbit AI stores user data for as long as the user account remains active. Data may be retained:

• Until a user deletes their account
• Until a user removes a contact
• As required to maintain system functionality

When a user deletes their account, associated data will be removed from our active systems.

Orbit AI may share data with trusted service providers strictly to operate the Service. Examples include:

Infrastructure providers

• Supabase
• Railway

AI processing providers

• OpenAI

These providers process data solely to support the operation of the platform. Orbit AI does not sell user data.

Orbit AI uses minimal cookies required to operate the Service. These may include:

• Authentication cookies
• Session cookies
• Security cookies

We do not use invasive third-party advertising trackers.

Users of Orbit AI may request to:

• Access their personal data
• Export their data
• Delete contacts
• Delete their account

Orbit AI may process information about individuals that is publicly available online or added by users. If you believe your personal information appears in Orbit AI and wish to request removal, you may contact: privacy@orbitaicrm.com

We will review and process legitimate removal requests.

Orbit AI may generate suggested outreach messages for users based on contact activity. The Service does not send messages automatically. All communication actions are initiated manually by the user.

Orbit AI uses industry standard security measures to protect data, including:

• Secure authentication
• Encrypted connections (HTTPS)
• Restricted database access

However, no system can guarantee absolute security.

Orbit AI operates globally. By using the Service, users acknowledge that data may be processed in cloud infrastructure located outside their country of residence.
